Equipment & Purchasing Coordinator

The role of Equipment & Purchasing Coordinator:
We’re looking for a highly organised and proactive Fleet & Procurement Coordinator to join our NDC team and take full ownership of our fleet of 500+ machines. In this key role, you’ll be responsible for managing the day-to-day operations of the fleet, overseeing the procurement of parts and consumables, and ensuring effective coordination with suppliers, service teams, and internal stakeholders.
Key Responsibilities:
Fleet Management
- Maintain an accurate and up-to-date record of all machines, including location, usage hours, service history, and compliance status.
- Schedule and coordinate routine maintenance, inspections and repairs.
- Monitor machine utilisation and prepare regular reports on availability and performance.
- Ensure compliance with safety, registration, and insurance requirements.
Purchasing
- Raise and manage purchase orders for parts, services, and consumable items related to the machinery.
- Build and maintain strong relationships with suppliers to ensure timely deliveries and competitive pricing.
- Track stock levels of consumable items and reorder proactively to prevent shortages.
- Work with finance and operations teams to reconcile purchase orders, invoices, and budgets.
General Administration
- Handle data entry, filing, and communication related to the fleet and purchasing activities.
- Respond to internal requests for machines, parts, and consumables.
- Identify opportunities for cost savings and process improvements.
Key Skills and Essential Experience:
- Good understanding of Microsoft D365 and proficient with Microsoft Office (Excel, Word).
- Good communication skills and ability to work with multiple stakeholders.
- Minimum of 2 years’ experience in purchasing and operations coordination.
- Strong organisational skills and a proactive, ownership-driven attitude.
- Ability to work independently and prioritise tasks.
